Summary

The Buyer is responsible for performing a full range of purchasing and inventory responsibilities as well as attaining company customer service goals, vendor relations goals, and branch inventory and efficiency goals.

Duties and Responsibilities

1. Vendor Relations

  • Act as primary Gensco contact for vendors.
  • Responsible for negotiating cost, terms, freight, and conditions of sale with assigned vendors to achieve greatest possible value.
  • Procures special costs, as needed, to meet competitive situations.
  • Analyze and resolve issues arising from warranty, obsolescence, slow moving inventory, packaging, delivery, customer complaints, and any other problems that may arise in dealing with specific vendors.
  • Assist the Sales Support team in managing vendor participation in marketing programs and coop funds.
  • Participate as a key member in formal vendor review meetings.
  • Act as the conduit for the vendor to voice their wishes and needs.
  • Maintain regular and frequent communications with those key vendors to which they are assigned.

2. Inventory Management & Replenishment

  • Regularly review product lines to determine if replenishment is needed.
  • Determine where replenishment stock should come from, how it should get there, and how often.
  • Identify overstock, slow mover, non-mover inventory and communicate to sales/marketing or local branch for resolution.
  • Resolve overstocks or excess inventory.
  • Manage the inventory of seasonal items using historical data, input from the field, manual planning, and vendor tools to determine when to bring in.
  • Assist Manager in the maintenance and enhancement of purchasing software/system.
  • Solicit and use information from branches on seasonal and business changes to best manage stock levels of assigned product lines.
  • Communicate new product performance with branches and key internal stakeholders.
  • Identify and correct outages and shortages immediately – use critical inventory report and available report to identify and resolve.
  • Initiate buy out as needed so internal shortages are transparent to customer.
  • Meet Gensco’s goals of service level, inventory turns, and direct ship percentages.

3. Communication – External and Internal

  • Initiate communication on any changes in products, orders, availability, vendors, pricing, and services for assigned product lines.
  • Routinely solicit and use feedback from the field and other departments particularly in regard to changes in sales or customer trends.
  • Provide feedback on how the information was used and the results of the action as needed.
  • Use the Hotline as appropriate to publish important information relating to product lines.
  • Provide external communication including soliciting and giving information to vendors on updates, people changes, competition, and market changes or issues.
  • Utilize written communication skills to communicate with internal and external stakeholders.

4. Administration & Maintenance

  • Set up new products in the system, update cost and rebates, maintain the inventory master maintenance file, maintain the purchasing module including order points, lead times, and order quantities.
  • Set up new vendors in vendor maintenance file.
  • Update branch files for new products, branch correspondence, vendor information, and catalogs.
  • Maintain consistent product descriptions within product lines.

Skills and Qualifications

  • AA degree required, Bachelor’s degree preferred
  • 3+ years related experience preferred
  • Excellent knowledge of the products Gensco sells
  • Understanding of Gensco operations, distribution and warehouse operations
  • Strong written and verbal communication skills
  • Demonstrated ability to multi-task in a fast-paced environment
  • Organizational and negotiating skills
  • Ability to maintain accurate and detailed records
  • Analytical, reasoning and problem-solving skills
  • Able to work under pressure and meet deadlines
  • Proactive, self-motivated, able to recognize issues and resolve or escalate appropriately
  • Strong people skills, recognizes when to use formal or informal style, not easily intimidated, accessible, ability to say “no” in a firm but polite manner to customers and vendors

  • Able to lift and carry equipment, supplies and inventory on a frequent basis
